2. What this policy covers
This policy explains what personal data we collect, how we use it, and your rights under UK GDPR and the Data Protection Act 2018. We are committed to handling your data responsibly and transparently.
3. Data we collect and why
When you contact us
When you get in touch by email, phone or through our website, we may collect:
- Your name
- Your email address and/or phone number
- Information you choose to share about your health, fitness goals or training history
We use this to respond to your enquiry, arrange sessions and provide our coaching service. The legal basis is legitimate interests (to respond to your enquiry) and, where health data is involved, your explicit consent.
Website analytics
We use Plausible Analytics to understand how people use our website. Plausible is a privacy-first analytics tool that:
- Does not use cookies
- Does not collect personal data or track individuals across sites
- Does not require a cookie consent banner
- Is fully compliant with UK GDPR, PECR, GDPR and CCPA
Plausible collects only aggregated, anonymised data — page views, traffic sources and device types. No data is sold to third parties. See plausible.io/data-policy for full details.
Hosting
This website is hosted by Netlify, which may process standard server logs (including anonymised IP addresses) as part of normal hosting operations. See netlify.com/gdpr-ccpa for details.
4. Health and fitness information
If you share health or medical information with us (for example, details of injuries, conditions or medication), we treat this as special category data under UK GDPR. We only collect what is necessary to provide safe and appropriate coaching, and we will ask for your explicit consent before recording or storing this information. We do not share health information with third parties without your consent.
5. How long we keep your data
- Enquiry emails and contact details — up to 12 months if you do not become a client
- Active client records — for the duration of the coaching relationship plus 6 years (for financial records required by HMRC)
- Website analytics — aggregated, anonymous data with no personal retention limit
6. Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes. We may share data only where strictly necessary:
- Plausible Analytics (anonymised website usage data only)
- Netlify (website hosting — server logs only)
- Professional advisors (accountant, solicitor) under confidentiality obligations
- Law enforcement or regulatory bodies where legally required
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data (the "right to be forgotten")
- Restrict or object to how we use your data
- Data portability — receive your data in a portable format
- Withdraw consent at any time where processing is based on consent
To exercise any of these rights, email coach@goingstrong.co.uk. We will respond within 30 days.
8. Complaints
If you have concerns about how we handle your data, please contact us in the first instance at coach@goingstrong.co.uk. If you remain unhappy, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
